Office Assistant
The Office Assistant will perform functions including, but not limited to:
- Greet the public, by phone or in person, answering basic questions about programs and referring questions requiring more in-depth discussion with program staff, send applications and maintaining records of application requests.
- Complete copying as assigned by office staff. Maintain a supply of locally produced forms and brochures.
- Qualifying potential tenants.
- Certifications and recertifications of tenants.
- Showing units for Public Housing.
- Utilize Sage50 for basic bookkeeping tasks as needed.
- This position deals with federal regulations, calculating tenant rents and providing detailed documentation of operations and assistance with policy creation and maintenance.
- Learning and applying local and national program rules, regulations, policies and updates.
- Collecting and calculating necessary data for income, assets, deductions, and determining eligibility.
- Enforce the conditions of the lease and the Housing Authority rules and regulations, rent collection and various front-end duties.
- Perform housing inspections.
- Office cleaning as needed and other duties as assigned.
Minimum Qualifications:
High School diploma or equivalent.
Ability to maintain a kind and professional demeanor when dealing with the public.
Proficiency in MS Word and Excel.
Strong verbal and written communication skills.
Ability to perform basic mathematical calculations.
Ability to work in a fast-paced environment and manage multiple tasks concurrently.
A criminal background check will be conducted. Must possess a valid WI driver’s license and be insurable.

Occupancy Specialist/Administrative Aid
Overview
We are seeking a highly organized and detail-oriented Occupancy Specialist/Administrative Aid to join our team. The ideal candidate will possess strong administrative skills and have experience in office management. This role is essential for maintaining efficient office operations and providing exceptional support to both staff and tenants. The Occupancy Specialist/Administrative Aid will be responsible for a variety of tasks that ensure the smooth functioning of the office environment.
Responsibilities
- Reports to the Executive Director
- Greet the public, by phone or in person, answering basic questions about programs and referring questions requiring more in-depth discussion with program staff, send applications and maintaining records of application requests.
- Qualifying potential tenants.
- Certifications and recertifications of tenants.
- Showing units for Public Housing. Handling lease ups/paperwork.
- Utilize Sage50 for basic bookkeeping tasks as needed.
- This position deals with federal regulations, calculating tenant rents and providing detailed documentation of operations and assistance with policy creation and maintenance.
- Learning and applying local and national program rules, regulations, policies and updates.
- Collecting, interpreting, calculating and formulating the necessary data for income, assets, deductions, and determining eligibility.
- Enforce the conditions of the lease and the Housing Authority rules and regulations, rent collection and various front-end duties. This includes preparing all lease violations and termination documents.
- Perform housing inspections. Assist maintenance with tenant notifications.
- Office cleaning as needed and other duties as assigned.
- Manage front desk operations, including greeting visitors and handling inquiries.
- Operate multi-line phone systems to direct calls and provide customer support.
- Perform data entry, filing, and clerical duties to maintain organized records.
- Assist with calendar management, scheduling appointments, and coordinating meetings.
- Utilize Sage50 for basic bookkeeping tasks as needed.
- Provide administrative support by preparing documents, proofreading materials, and managing correspondence for the director.
- Maintain office supplies inventory and place orders as necessary.
- Support team members with various tasks to enhance productivity and efficiency.
- Ensure compliance with office policies and procedures while maintaining confidentiality.
Qualifications
- Proven experience in an office setting with strong clerical skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Familiarity with Sage50 is a plus; bookkeeping experience preferred.
- Excellent organizational skills with the ability to manage multiple tasks effectively.
- Strong typing skills and attention to detail for accurate data entry and proofreading.
- Exceptional customer service skills with a focus on phone etiquette and tenant relations.
- Time management abilities to prioritize tasks in a fast-paced environment.
- Previous experience as a receptionist is advantageous but not required.
- Personal assistant experience is beneficial for managing executive-level tasks.

Maintenance Technician
The Menomonie Housing Authority is seeking an individual to work full-time under the
direction of the Maintenance Supervisor or other appropriate administrative staff, job duties
to consist of:
Unit turnarounds, painting, cleaning and sanitizing.
Responsible for the general maintenance/cleaning to buildings, grounds and other related tasks as required.
The successful candidate needs to be knowledgeable in methods used in janitorial work as it relates to supplies, equipment and materials.
DETAIL ORIENTED: Ability to understand verbal and written instructions.
Occasional evening and weekend work may be required.
Individual must be self-motivated, reliable and have excellent time management skills.
Graduation from high school or possession of an equivalency diploma and two years of
experience in maintenance type work in one or more of the standard trades such as
carpentry, plumbing and electrical is preferred.
Must possess a valid WI driver’s license and be insurable.
